Impound yard

A system instead of a paper book: intake, storage, settlement and reports in one place

About the project

Impound yard is a system for entrepreneurs and companies that take in, store and bill towed or stored vehicles. The pain in this business is always in the same place: records are kept in a paper book, and storage days and fees are counted by hand. The book gets lost, the handwriting cannot be read, the same vehicle is quoted two different amounts — and, worst of all, there is no way to establish where the error came from. The system takes that human factor out: every vehicle gets its own record, storage days are added automatically at midnight, the fee is calculated automatically, the tow distance is measured from the map, and every movement of money is recorded together with the person who made it. The monthly report for the traffic police is also assembled from those records at the end of the month — no table has to be filled in by hand. As a result the owner does not ask for the book — they look from their phone.

Capabilities

  • Intake and release journal for every vehicle
  • Storage days counted automatically — +1 every midnight
  • The fee is calculated automatically and a receipt is printed
  • Tow distance taken from the map
  • Photos kept in cloud storage, a gallery for the owner
  • Cash movement and handover to the bank
  • Roles: accountant-cashier, manager, tow truck driver
  • The handover report comes out ready in Word
  • The monthly report for the traffic police is generated automatically — Excel, QR code
  • The receipt opens from Telegram without a password
  • Three languages (Cyrillic, Latin, Russian) and dark mode

What changes

Paper book and pen

With a paper book
Everything is written by hand: the handwriting is hard to read, and if the book is lost the history goes with it.
In the system
Every vehicle has its own record — the history is kept and searchable.

Counting storage days

With a paper book
A member of staff counts the days, so it comes out a day short or a day long.
In the system
The day is added automatically at midnight, with one rule for everyone.

The amount due

With a paper book
A calculator and mental arithmetic — then an argument with the owner.
In the system
The amount is calculated automatically and printed on the receipt.

The human factor

With a paper book
When something is wrong or money is missing, nobody can tell where it started.
In the system
Every action is recorded with who did it and when.

Reporting

With a paper book
The monthly table for the traffic police is filled in by hand at the end of the month and takes a whole day.
In the system
The report is generated automatically — Excel and the QR code are ready.

Oversight for the owner

With a paper book
You have to drive out to the yard and ask for the book.
In the system
It is visible from a phone: how many vehicles, how much money, which photos.
